Badges to be carried visibly

All delegates are required to visibly wear their conference badges when in bcc and when entering the social program events.

Who is eligible for the student registration fee?

For a delegate to be considered a student:

  • She/he must be currently enrolled in a PhD / master programme in her/his affiliated institution.
  • A proof of this is written on official stationary and signed by the student’s supervisor or head of department.
  • The proof is delivered to the conference secretariat uploading it during the registration process or by e-mail or fax within three working days of the student registration.
  • Note to have your student ID with you at the reception desk
  • If no proof is delivered, the fee is raised to the regular fee.

EPS-members

Note to have your EPS membership number available at the reception desk. Due to the reciprocal agreement between APS and EPS, APS members may register at EPS member rates. However, note that individual members of other national physical societies are not necessarily automatically also members of the EPS.

Payment

All payments (registration fee, excursion, dinner) should be made in advance in Euros (EUR, €) within two weeks after the registration.

Please use "EPS2015", last name and the participant's referene number when making the bank transfer. The reference number will be shown on the automatic reply that you will receive after submitting the registration form online. Payment by bank transfer is to be settled within two weeks of registration. Online registration will close on 15 June 2015.

Please note that all payments should be made free of bank charges. Bank drafts as well as personal, traveller's or company cheques cannot be accepted.

Onsite payment options are:

  • credit card: We can accept Euro Card / Master Card and Visa Card.
  • cash in EUR

Confirmation of registration and payment

When registering online, you will receive an instant confirmation of successful registration to your e-mail. Later on we will confirm the participation upon receiving the payment. Note that participation confirmation letters cannot be sent before all the payments have been received.

Cancellation and Refund Policy

Please send possible changes to registrations and cancellations by email (see the mail address here). Don't forget to indicate your name and the reference number of the automatic reply that you will receive after submitting the registration form. All changes will be confirmed by email.

If a cancellation is received by 30 April 2015 the registration fee will be refunded with the exception of a handling fee of €50. No refunds can be made for the cancellations received after 30 April 2015 or in the case of not participating. However, note that there is no extra fee if a delegate's registration is transferred to a colleague from the same organization.
